Appointment Booking Settings

You can find all settings related to booking appointments in Appointment Booking Settings.

 

1. Enable Appointment scheduling

This checkbox will enable appointment scheduling and also enable the /book_appointment Route for website users (your customers). Your customers will see a portal view.

2. Agent Details

In this section, you can add details about agents, such as their working hours and holidays.

2.1 Availability of Slots

This section allows you to define the availability of your agents for appointments, specifying the timing for each day of the week. Each row represents a continuous time block, and you can have multiple entries for each day.

For instance, if your agents work from Monday to Friday, from 9 am to 5 pm with a half-hour lunch break at 1:30 pm, you will need to create two entries for each day: one from 9 am to 1:30 pm and another from 2 pm to 5 pm.

2.2 Agents

This list comprises agents who will be automatically assigned to appointments. The maximum number of appointments that can be scheduled in one time slot also depends on the number of employees in this list.

2.3 Holiday list

You can associate a holiday list to be applied to the appointment schedule. If a day is designated as a holiday, scheduling an appointment for that day will not be permitted.

3. Appointment Details

This section contains details about the appointment themselves.

3.1 Appointment Duration in minutes

The appointment duration is specified in minutes. This duration is utilized for calculating appointment time slots on the web portal. Note that modifying this duration does not impact appointments created prior to the change.

3.2 Notify Via Email

Activating this checkbox will trigger an email notification to be sent to the participants of the appointments, including your employee and the customer, on the day of the appointment. Note that modifying this checkbox will not impact appointments created prior to the change.

3.3 Number of days appointment can be books in advance

This indicates the maximum number of days in advance that appointments can be scheduled. If the provided Holiday List concludes before the date calculated using this number, appointment scheduling will cease at the conclusion of the Holiday List.

4. Success settings

4.1 Success Redirect URL

This is the URL where the user will be redirected on creation of successful appointment creation via Web Portal. This redirect will not occur when creating appointments from within Desk UI. Leave blank for home. This is relative to site URL, for example “about” will redirect to “https://yoursitename.com/about”
