Easy steps to setup Workflow
When a company has multiple levels of approval for a document, a Workflow can be set.
In BizCentric, you can go to
Workflow list –> Create New –> Name the workflow and define:
- States
- Transition rules.
- States:
When a document is passed on for different levels of approval, there are states defined at each level for the role of the user.
- Transition Rules:
For example, a Sales user has the capability to generate a Quotation, which is initially saved in the Draft state. Subsequently, this user can forward the Quotation to the Sales Manager for approval. The Sales Manager, endowed with the appropriate permissions, possesses the authority to either Approve or Reject the Quotation. In the event of rejection, the Quotation returns to the Draft state; otherwise, it transitions to the Approved state.
Error Messages:
A document cannot be Cancelled before it is Submitted.
[This common mistake is encountered by users when they set the Document’s state to “cancelled” before submitting it. Doc Status 1 indicates that the Document will be submitted in that state, meaning that the state with Doc Status 2 should only be specified in the transition following the state with Doc Status 1.]
