Item Variants

An Item Variant refers to a specific version of an item that possesses distinct attributes such as sizes or colors.

For example, consider a t-shirt as an item available in various sizes and colors like small, medium, large, and red, blue, green. In BizCentric, the t-shirt is regarded as the item template, while each variation, such as a blue t-shirt in size small, is considered an Item Variant.

Item variants enable you to categorize the different sizes and colors of a t-shirt as variations of a single item, rather than treating each size or color variation as a separate item. This simplifies inventory management by consolidating related variants under one item.

1. Using Item Variants

Variants can be based on two things:

  1. Item Attributes
  2. Manufacturers

Tip: Once an item template is created, when you update this template, all the variants are also updated accordingly.

1.1 Creating the Item Variant Template

  1. To employ Item Variants in BizCentric, begin by creating an item and selecting the ‘Has Variants’ option under the Variants section.
  2. Once selected, the item is categorized as a ‘Template,’ distinguishing it from a standard ‘Item.’ As a Template, it cannot be directly utilized in transactions such as Sales Orders, Delivery Notes, or Purchase Invoices.
  3. Instead, only the specific Variants of the item, like a blue t-shirt in size small, can be practically utilized. Hence, it’s preferable to determine whether an item should have variants or not during its creation.
  4. Upon enabling ‘Has Variants,’ a table will be displayed where you can specify the variant attributes for the item. If the attribute involves numeric values, you can define the range and create intervals based on the specified increment values.

It’s important to note that transactions cannot be performed directly against a Template.

1.2 Creating the Item Variants Based on Item Attributes

To generate ‘Item Variants’ based on a ‘Template,’ select ‘Create.’ Next, decide whether to generate a single variant or multiple variants.

Opting for a single variant involves creating one or more attributes, resulting in the creation of a single item.

Conversely, selecting multiple variants allows you to choose attributes, resulting in the creation of multiple items. For instance, if you select Color: Red, Green and Size: Small, Medium, Large, it will generate 6 variants.

1.3 Item Variants Based on Manufacturers

To establish variants based on Manufacturers, configure the “Variants Based On” setting in your Item template as “Manufacturers”. Then, to create variants, navigate to Create > Make Variant. The system will request you to specify a Manufacturer. Optionally, you can also include a Manufacturer Part Number.

The nomenclature of the variant will be derived from the name (ID) of the template Item with a numerical suffix. For instance, if the template item is named “Screwdriver”, the variant will be labeled as “Screwdriver-1”.

2. Update Item Variants Based on Template

Go to: Home > Stock > Items and Pricing > Item Variant Settings. The fields displayed here will be copied over to the variants as well. By default, all fields are shown, delete any rows you don’t want to be updated from the item template to the variants.
