Promotional Scheme

A Promotional Scheme is a temporary discount on one or more products.

Pricing promotions play a vital role in business success by offering discounted prices for a specific duration to entice more customers. These promotions can be effortlessly set up in BizCentric. Each promotional scheme is tied to a pricing rule, employing a tiered system to generate the pricing rule.

When you create a promotional scheme, the system automatically generates a pricing rule. Multiple pricing rules can be linked to a single promotional scheme. In BizCentric, promotional schemes offer a streamlined approach to managing pricing across various items or groups based on different criteria and parties.

To access the Promotional Scheme list, go to:

Home > Selling > Items and Pricing > Promotional Scheme

1. Prerequisites

Before creating and using a Promotional Scheme, it is advisable to create the following first:

  1. Item
  2. Item Group
  3. Customer
  4. Supplier

2. How to create a Promotional Scheme

  1. Go to the Promotional Scheme list and click on New.
  2. Enter a title for the rule.
  3. Select what to Apply On like Item Code, Item Group, Brand, or Transaction. Selecting Transaction will apply the scheme on the total amount of the transaction.
  4. Based on the ‘Apply On’, system will give you the provision to select the Item Code / Item Group / Brand in the table.
  5. Select whether the scheme is for Selling, Buying, or both and set the party information.
  6. In the Price Discount Slabs table, set the price discount, product discount.
  7. Users can also apply the discount on the other Item Code / Item Group / Brand by selecting the value for Apply Rule On Other field. 
  8. Save.

Note: On saving a Promotional Scheme, a new Pricing Rule is created.

2.1 Additional fields when creating a Promotional Scheme

Mixed Conditions

If you choose two or more items and define minimum and maximum quantities, the promotional scheme will only be applied if the total quantity of items matches the specified range. For instance, if you establish a promotional scheme for Item 1 and Item 2 with a minimum and maximum quantity set at 30, the scheme will only take effect if the total quantity reaches 30.

Is Cumulative

Enabling this option allows the Promotional Scheme to be applied cumulatively. You need to set the ‘Min Amt’ and ‘Max Amt’ for this.

Consider a scenario where the Min Amt is 1,500 and Max Amt is 2,000. Now, if one transaction is created for 1,400, the Promotional Scheme will not be applied. However, upon creating a second invoice of amount 600, the Promotional Scheme will be applied. This occurs because the total (cumulative) amount of the invoices adds up to 2,000. It’s important to note that the discount will only be applied to the latest transaction that crosses the cumulative limit.

This feature can be useful for offering discounts when a customer makes multiple purchases, allowing you to reward them with discounts or special prices.

3. Features

3.1 Apply Scheme On Other Item

This feature evaluates conditions based on the first item but applies the scheme, discount, or rate to another item.

For instance, suppose you set Item1 and Item2 in the ‘Apply Rule On’ table and designate ‘Apply Rule On Other’ for Item3. If a transaction includes Item1, Item2, and Item3, the Pricing Rule will be applied to Item3 because the first two items were present in the transaction.

3.2 Party Information

Set whether the Promotional Scheme is for Selling of Buying the Item.

Based on your selection you can set applicability to one of the following masters.

3.3 Validity

You can specify a date range for when the Promotional Scheme will be active, which is particularly useful for sales promotions. If you leave the dates blank, the Promotional Scheme will not have any time constraints.

Additionally, setting a specific currency here will ensure that the Promotional Scheme is applied only when the currency matches that of the transaction.

3.4 Price Discount Slabs

Rule Description: Enter a description to keep a note of what this Promotional Scheme entails.

Quantity and Amount

You can define the minimum quantity, maximum quantity, minimum amount, or maximum amount of an item for which this Promotional Scheme should be applicable.

Keep in mind that if the quantity or amount falls below or exceeds the limits set here, the Promotional Scheme will not be applied at all. However, it will be applied if you have enabled the Mixed Conditions or Cumulative options.

Setting the Discount/Rate

  • Rate: This will determine the new price for an item. For instance, if you’re currently selling an item for $100 and wish to adjust the price to $112 for a specific customer, you would select the “Rate” option and set the new price as $112.
  • Discount Percentage: This option allows you to specify a particular discount percentage. For example, applying a 10% discount on an item originally priced at $500 would result in a discounted price of $450.
  • Discount Amount: With this option, you can apply a fixed discount amount to an item. For instance, if the original price of an item is $100 and you want to offer a $7 discount, you would utilize the “Discount Amount” option to apply the $7 discount.

Filters for setting discount

  • Warehouse: Setting a Warehouse here will cause the Promotional Scheme to be applied only if the Item is selected from the Warehouse specified here.
  • Priority: Consider an Item Group, you want to set specific rules on one Item from the group. This can be done by creating a new Promotional Scheme and setting a higher priority.
  • Threshold for Suggestion: This is the threshold based on which the system will notify you to adjust Item Quantity for discount. For example, if the Min Quantity is 10 and the Threshold is 9, the system will notify to add 1 more Item for the discount to be applicable. This also applies to the amount set.
  • Validate Applied Rule: If the entered price is not valid for the Item, the system will not allow you to apply a different rate/discount.

3.5 Product Discount Slabs

A Product Discount is applicable when one or more items are provided for free upon the purchase of other items. Most fields in this table are similar to the previous section.

Additional options include:

  • Same Item: Enable this checkbox if you intend to offer the same item as a free product discount upon the purchase of another item. If you wish to offer a different item for free, untick this box and select the item to be given for free.
  • Apply Multiple Pricing Rules: This option enables the cumulative application of multiple pricing rules. For instance, consider an item with a price of $500. If there are two pricing rules, P1 offering a 10% discount and P2 offering a 5% discount, enabling this option would result in a total discount of 15%, reducing the item price to $425.
  • UoM: The Promotional Scheme will only apply if the Unit of Measure (UoM) specified here matches with the transaction.
  • Rate: Sometimes, while an item is offered for free by the supplier, there may still be applicable taxes. Specifying a rate here indicates that the customer will be responsible for paying any applicable taxes.

4. Promotional Scheme types

4.1 Price Discount

In this particular promotional scheme, users have the flexibility to set the discount either as a percentage or a fixed amount, depending on the minimum and maximum quantity, as well as the minimum and maximum amount of the products. Additionally, users can configure the scheme to establish a flat rate for the product based on either the quantity or the amount of the product.

4.2 Product Discount

In this promotional scheme type, users have the option to offer a complimentary product upon the purchase of either the same or a different product, with conditions such as minimum quantity, maximum quantity, minimum amount, and maximum amount.

5. How to configure a Promotional Scheme (Examples)

Let’s understand how to configure a promotional scheme in BizCentric using some examples.

5.1 Mixed Conditions Schemes

Customer A purchased 10 quantities of Britannia Cake 5 Rs packets and 5 quantities of Britannia Cake 10 Rs packets. The Supplier intends to offer a 10% discount to Customer A. Similarly, the Supplier plans to extend a 10% discount to Customer B, who has purchased 15 quantities of Britannia Cake 5 Rs packets.

To implement this in BizCentric, follow these steps:

  1. Set “Apply On” as Item Code.
  2. Include the Item Codes Britannia Cake 5 Rs and Britannia Cake 10 Rs in the Pricing Rule Item Code table.
  3. Activate the “Mixed Conditions” field.
  4. In the price discount table, specify the minimum quantity and maximum quantity as 15.
  5. Choose the discount type as Discount Percentage and set the rate to 10%.

5.2 To apply a discount on other Item

Customer A bought 30 quantities of Britannia Cake 5 Rs packets and 2 quantities of Britannia Cake 15 Rs packets. The Supplier intends to offer the Britannia Cake 15 Rs packet at a flat rate of 12 Rs, whereas its original price is 15 Rs.

The Supplier aims to apply this rule only if the Customer has purchased a minimum of 30 quantities of Britannia Cake 5 Rs or Britannia Cake 10 Rs.

To set up this configuration in BizCentric, follow these steps:

  1. Set “Apply On” as Item Code.
  2. Include the item codes Britannia Cake 5 Rs and Britannia Cake 10 Rs in the Pricing Rule Item Code table.
  3. Set “Apply Rule On Other” as Item Code and specify the Item Code as Britannia Cake 15 Rs.
  4. In the price discount table, designate the minimum quantity as 30.
  5. Choose the discount type as Rate and set the rate to 12 Rs.
