Quality Inspection

In BizCentric, you can mark your incoming or outgoing products for Quality Inspection.

1. Prerequisites

Before creating and using a Quality Inspection, it is advised that you do the following first:

  • Create an Item.
  • Enable Quality Inspection Criteria in the Item master. On enabling either checkbox, submission of a stock delivery/receipt document will be allowed only after a Quality Inspection is done against it: 
  • (Optional) Create a Quality Inspection Template. You can add inspection parameters and acceptance criteria in the template, which can be easily fetched into any Quality Inspection. After saving the template, you can set this template in the Item Master (as shown above).

2. How to create a new Quality Inspection

  1. From a Draft Purchase/Subcontracting Receipt or Delivery Note, navigate to the Item table’s Quality Inspection field and initiate the creation of a New Quality Inspection. Additionally, you can generate a Quality Inspection for a Job Card to monitor the quality of in-process items. In this scenario, you can create a Quality Inspection for the Production Item in the Job Card.
  2. Choose the inspection type: Incoming (Purchase), Outgoing (Sales), or In Process (Manufacturing).
  3. Specify the Reference Document Type, selecting from options such as Purchase Receipt, Purchase Invoice, Delivery Note, Sales Invoice, Stock Entry, or Job Card.
  4. Designate the Item and establish the sample size to be inspected. It’s important to note that only Items with Inspection Criteria enabled in the Item master will be retrieved.
  5. The Quality Inspection Template configured in the Item master will be retrieved.
  6. You have the flexibility to alter the inspector and add a verifier.
  7. Include any additional remarks pertaining to the inspection.
  8. Save the entry, set the status, and submit it.

3. Features

A single Quality Inspection consists of many Quality Checks (Parameters) within it. Each of these checks could be NumericNon-numeric or Formula Based.

3.1 Numeric Quality Checks

Numeric Quality Checks encompass all assessments that necessitate numerical readings and adherence to predefined acceptance criteria.

For instance, verifying if a reading falls within a specified range.

By default, these checks are numeric. They comprise two fields: Minimum Value and Maximum Value, which establish the range within which each reading must fall. These parameters can be configured in the Quality Inspection Template once and subsequently retrieved into the Quality Inspection.

Should any readings fall outside this designated range, the status on the corresponding row will automatically be set to ‘Rejected’ upon saving.

3.2 Non-numeric (Value-Based) Quality Checks

Non-numeric Quality Checks encompass evaluations requiring alphabetical values or those not involving mathematical computations.

E.g. checking if the color is white in a color quality check, Yes/No values for certain parameters, etc.

To perform Non-numeric checks, activate the ‘Non-numeric’ checkbox. Subsequently, you’ll observe the appearance of the field Acceptance Criteria Value and the section Value-Based Inspection.

Input the Reading Value in the designated field. The Acceptance Criteria Value can be predefined in the Quality Inspection Template and subsequently retrieved into the Quality Inspection.

Should the Reading Value fail to align with the Acceptance Criteria Value, the status on the corresponding row will automatically be set to ‘Rejected’ upon saving.

3.3 Formula-Based Quality Checks

Formula-Based Quality Checks are beneficial for handling more intricate scenarios where merely specifying a range or a single acceptance value is insufficient.

For instance, verifying if the grade of a material is A/B/C or assessing if the mean of certain readings falls within a specified range.

Formula-Based Quality Checks are applicable to both Numeric and Non-numeric Quality Checks.

To conduct a Formula-Based Quality Check, activate the ‘Formula Based Criteria’ checkbox. Subsequently, you’ll encounter a field named Acceptance Criteria Formula, allowing you to define a formula determining the acceptance or rejection of a specific check. This formula can be established in the Quality Inspection Template and subsequently retrieved into the Quality Inspection.

3.3 Manual Inspection

Up to this point, all Quality Checks have been subject to automatic acceptance or rejection upon saving. However, in practical situations, there may arise instances where a check is technically rejected but deemed acceptable due to certain tolerances.

In such cases, users must determine the status at the row level. To prevent any system intervention in such checks, activate the ‘Manual Inspection’ checkbox. This allows users to manually set the status, which remains unchanged upon saving.

The overall status for the entire Quality Inspection can then be determined by the user.
