To Do

ToDo is a list of activities that is to be done by a particular individual.

Within BizCentric, a ToDo serves as a straightforward tool allowing you to outline your planned activities. The ToDo List compiles all activities assigned to you as well as those assigned by you.

A ToDo also gets auto created when any other Document is assigned to you. Checkout ToDo Auto Creation

To access ToDo, go to

Home > Tools > ToDo

1. How to create a ToDo

  1. Go to the ToDo list and click new.
  2. You will be redirected to a Quick Entry for ToDo, wherein you will be required to enter the description of the ToDo.
  3. Save. 

Note: While creating a ToDo using the Quick Entry, the ToDo by default gets assigned to the creator. To prevent the same, and assign it to other users, ensure that you edit the ToDo in Full Page.

ToDo Notification

Once a ToDo is created, the assigned user will get a notification for the ToDo.

 

1.1. Additional Options while creating a ToDo

  1. Status: You have the option to set the status of the ToDo. Upon creation, the status defaults to ‘Open’. Once the task is completed, you can change it to ‘Closed’.
  2. Priority: You can designate the priority of the task as Low, Medium, or High.
  3. Color: You can opt to assign a color to each ToDo. For instance, a weekly reminder for sending reports might be designated with the color Purple, while personal tasks could be assigned the color Yellow.
  4. Due Date: You can specify a due date for each ToDo.
  5. Allocated To: If you’re assigning a ToDo to another BizCentric User, you can designate them here.

1.2. References

In BizCentric, every document features an option named ‘Assign To’ in the sidebar. This functionality allows any document to be assigned to a user, consequently generating a corresponding ToDo for that user.

  1. Reference Type: When a ToDo originates from another document, such as a Task or an Issue, the corresponding Reference Document Type is automatically linked to the ToDo. Alternatively, you can manually specify a Reference Document Type if needed.
  2. Reference Name: If the ToDo is generated through another DocType, the name of the associated Reference DocType is also linked here.
  3. Assigned By: In instances where you receive a ToDo through another Document Type, the name of the individual assigning the task is also recorded.

2. ToDo Statuses

ToDo has 3 statuses, each describing the current state of a task.

  • Open: By default, a ToDo is labeled as Open upon its creation.
  • Closed: Once an activity is finished, the ToDo can be marked as ‘Closed’, ‘Resolved’, or ‘Completed’. Additionally, under conditions such as Issue Resolved or Task Completed, the ToDo is automatically closed. If necessary, it can be reopened.
  • Cancelled: If a user is removed from the assignment of a ToDo/Task/Issue, the linked ToDo associated with that document is automatically set to ‘Cancelled’.
