Warehouse
A warehouse serves as a commercial facility designed for the storage of goods, catering to various entities such as manufacturers, importers, exporters, wholesalers, transport firms, customs agencies, and more.
Typically situated in industrial zones within urban and rural areas, warehouses are commonly sizable, unadorned structures equipped with loading docks for the efficient loading and unloading of merchandise from trucks.
In BizCentric, the concept of ‘Warehouse’ extends beyond traditional definitions and may be considered as “storage locations.” Users have the flexibility to establish sub-warehouses, representing smaller divisions within their primary storage facility, such as shelves or designated sections within the physical location.
This can become quite a detailed Tree like the following:
Warehouse > Room > Row > Shelf > Bin
To access the Warehouse list, go to: > Home > Stock > Settings > Warehouse
1. How to create a Warehouse
- Go to the Warehouse list, click on New.
- Enter a name for the Warehouse.
- Set/check the Parent Warehouse. If you tick on ‘Is Group’, you can create sub-Warehouses under this group Warehouse.
- Save.
Warehouses are stored with the abbreviations of their corresponding companies. This simplifies the process of quickly identifying the ownership of each warehouse.
1.1 Additional options when creating a Warehouse
Account: Specify a default account for all transactions associated with this Warehouse. Assigning an account will display transactions from this Warehouse in the Accounting Ledger.
Warehouse Type: You have the option to establish a Warehouse Type to categorize Warehouses. This classification could include designations such as Supplier Warehouses, Stock Warehouses, Work-in-Progress Warehouses, Rooms, and more. This categorization proves beneficial when generating reports or during specific stock transactions.
Address and contact
You have the option to include Billing, Shipping, and additional address types for the Warehouse. Additionally, you can add a contact, such as the Warehouse Manager.
1.2 After Saving
Upon saving a Warehouse, you’ll encounter the following choices:
- Stock Balance: This option will open the Stock Balance report, presenting details such as quantity, valuation, and balance.
- General Ledger: This option will open the General Ledger, showcasing accounting transactions.
- Non-Group to Group: If the Warehouse is initially designated as a Non-Group Warehouse, meaning it cannot encompass other Warehouses beneath it, selecting this button will convert it into a Group Warehouse.

2.1 Tree View
You can also switch to ‘Tree’ View which will show all the group and child Warehouses.
2.2 Warehouse Account
In Bizcentric, activating Perpetual Inventory mandates that each Warehouse be associated with a specific company to uphold stock balance on a company level. To achieve this, every Warehouse must be tied to an Account within the Chart of Accounts, bearing the same name as the Warehouse itself. This Account serves to represent the monetary value of the goods or materials stored in that particular warehouse.
For instances where a more intricate Warehouse Tree is employed, it is advisable to link the sub-locations (such as rooms, rows, shelves, etc.) to the account of the primary Warehouse (the root Warehouse of that Tree). This practice is recommended as most scenarios do not necessitate accounting for the value of stock items per individual Shelf or Bin. For instance, if Warehouse A is the primary location and its subdivisions are rooms labeled B, C, etc., it is recommended to link B and C to the account of A.
Tip: BizCentric tracks stock balance for every unique combination of Item and Warehouse. Consequently, you can obtain the stock balance for any specific Item within a particular Warehouse on any given date.
